We are looking for an Engineering Proposal Assistant to join our stellar marketing team in our Orlando / Lake Mary, FL office.
This candidate will be responsible for supporting the efforts of the Marketing Coordinators & Marketing Director/Manager with administrative duties.
Work tasks will include maintaining and updating marketing materials for proposals, qualifications, and other marketing deliverables, such as project profiles/stories, resumes, references, and services descriptions.
This role also includes doing weekly advertisement searches as well as maintaining a list of upcoming projects.
Experience in the proposal process is a plus.
This is a hybrid position that includes, as needed, days in Metric's office in Lake Mary.
Day-to-Day:
Tracking/monitoring weekly advertisement searches for numerous governmental and private clients (CAP, LAP, DOT, Municipal, Authority work programs, etc.
) Maintaining the marketing system files and documents, including results logs, staffing matrix, licenses and certifications, contract expirations, etc.
Maintenance of staff licenses, insurance certificates, MBE/WBE/DBE certifications, pre-quals and vendor files, inventories, resumes, and subconsultant information for proposals Assist with Proposal / Letter of Response / Expanded Letter of Interest Compilation Gathering/requesting proposal materials as needed Coordinating/editing write-ups and graphics In office production tasks related to deliverables such as printing, sorting, combining, binding, shipping and/or delivering packages Research projects associated with marketing efforts Assisting with formatting and editing of final documents, as well as some quality control reviews Assist with special projects which include conference planning including maintaining the conference materials Some travel may be required What you should bring:
Undergraduate degree in marketing, communications, business, or related degree field preferred Proficiency with Microsoft Teams, Word, Excel, PowerPoint, and Outlook Strong organization skills and attention to detail Strong written and verbal communication skills The ability to manage multiple assignments in a fast-paced environment The ability to work under tight deadlines Other Considerations:
Similar experience with Architecture/Engineering firm or related industry is a plus Experience with Deltek and Adobe Creative Suites (Adobe Photoshop, Illustrator, InDesign) a plus What We Offer:
